Front Desk Clerk

Position Summary:    The Desk Clerk (DC) is responsible for all aspects of the front desk.  The DC must effectively and professionally manage patient and wellness center user flow from arrival to departure, utilizing the center’s concierges when necessary; ensure completion of paperwork, sign-in and security procedures; perform various clerical duties; interact with other clinic personnel, patient and visitors, and fellow employees to ensure good internal and public relations; monitor front door; schedule and register outpatient therapy clients and wellness center guests; handle and route incoming calls, return calls from patients and guests, etc.

 

Principle Duties and Responsibilities:

  1. Follow sign-in/registration procedures for patients and WC guests and verify completeness of new/update patient and WC guest information.
  2. Check for accuracy of instruction/government program eligibility status, account information, and all vital statistics for potential therapy patients. Make copies of all card and obtain patient/guest contact information.
  3. Assemble the patient/WC guest files neatly and accurately; complete all necessary paperwork and forward to the relevant party.
  4. Have patients/guests sign appropriate forms for entry into the facility.
  5. Monitor the front door for all visitor entries and have everyone signed in and accounted for (no unauthorized entries will be allowed). All visitors must sign out as well as in.
  6. Enter new patient/WC guest information into the system or make necessary changes to established patients and guests.
  7. Maintain a clean and orderly work area.
  8. Answer incoming telephone calls; handle patient concerns as appropriate or route to appropriate personnel.
  9. Complete opening/closing of department according to checklist. Monitor reception area and be able to assist if patients or guests have any difficulty – should route assistance to WC concierge as appropriate so visual and physical position at the front door can be maintained.
  10. Charge WC guest for facility use as appropriate (please see WC policy and procedure regarding charging guest for facility use).
  11. Ensure that any entries the coordinator makes in the patients’ or guests’ files are made accurately and in a timely manner; forward chart as appropriate.
  12. Take messages and notify staff and/or practitioners of all matters that relate to them. Schedule patients to other physicians as needed.

Qualifications:

  1. High school diploma or equivalent
  2. Predictable and consistent attendance.
  3. CPR certification.
  4. 3-5 years experiences in a medical environment preferred.
  5. No professional licenses or registrations required.
